Entry Terms & Conditions
Crystal Palace Triathlon – Terms & Conditions
The event organiser is Crystal Palace Triathletes (“we”, “us”, “our”).
By entering any race within the Crystal Palace Triathlon (“the Event”), you agree to the following terms.
1. Agreement to Terms
By completing an entry, you acknowledge that you have read, understood, and agree to be bound by these Terms & Conditions. These terms exist to ensure the safety, fairness, and smooth operation of the Crystal Palace Triathlon.
2. Participant Responsibility & Fitness to Compete
2.1 You confirm that you are physically fit, medically able, and have undertaken appropriate training to participate safely in the Event.
2.2 You agree to follow all instructions from event officials, marshals and medical teams.
2.3 You accept that participation is inherently risky and may involve hazards. You take part voluntarily and at your own risk.
2.4 Nothing in these Terms excludes or limits our liability for:
- death or personal injury caused by our negligence
- fraud or fraudulent misrepresentation
- any other liability that cannot legally be limited
2.5 Subject to the above, we are not responsible for:
- personal illness, injury or property loss that occurs during participation where not caused by our negligence
- travel, accommodation or other costs incurred by you in connection with the Event
3. Entry & Race Information
3.1 You must ensure your entry details are correct at the time of registration.
3.2 Any amendments must be requested before entries close. After this point, we may be unable to make changes.
3.3 You should familiarise yourself with the race information available on the race website
3.4 Details of the registration process and briefings are contained within the race information. You must attend registration at the published times to collect your race pack.
4. Refunds, Transfers & Deferrals
We comply with UK consumer law and aim to operate a fair and transparent policy:
4.1 Refunds
- 50% refund: cancellation 4+ weeks before the Event
- No refunds: within 4 weeks of the Event
4.2 Refunds exclude the booking/processing fee charged by our entry platform.
4.3 Duplicate entries or accidental multiple payments will be refunded if evidenced.
4.3 Transfers
4.3.1 Person-to-person transfers
You may transfer your entry to another participant up to 14 days before the Event. The recipient must have a StuWeb profile. Contact our help desk with the new participant’s name and date of birth.
4.3.2 Change of discipline / race distance
Transfers to another distance within the same Event are permitted before entries close.
You will be required to pay any increase in entry fee; no refunds are issued if transferring to a cheaper distance.
4.3.3 Late Entries
If you enter within 7 days of the Event, no refunds or transfers apply in any circumstances.
5. Event Changes, Postponement & Cancellation
5.1 We may need to amend the Event date, time, route or format due to weather, safety concerns, permit issues, or factors outside our reasonable control.
5.2 If the Event is postponed or materially altered, we will offer one or more of the following options:
- automatic transfer to the rescheduled date
- partial or full refund (subject to costs already incurred)
5.3 If the Event must be cancelled due to circumstances beyond our control (force majeure), we may retain a proportion of the entry fee to cover non‑recoverable costs.
6. Cut‑off Times and Removal from the Course
6.1 We may impose cut‑off times for safety, traffic management, daylight or medical reasons.
6.2 If you fail to meet these cut‑offs or if officials believe continuing would be unsafe, you may be withdrawn from the Event.
7. Disqualification and Conduct
You may be disqualified or removed from the Event without refund if you:
- ignore safety instructions
- behave in a manner deemed dangerous, abusive or unsporting
- use someone else’s race number
- tamper with timing equipment
- breach governing‑body rules
8. Governing Body Compliance
8.1 Events are conducted in accordance with the rules and guidance of:
- UK Athletics (UKA) for running events
- British Triathlon (BTF) for triathlon and multisport events
8.2 This includes rules on age categories, equipment, drafting, clothing, headphone use and general sportsmanship.
9. Medical Treatment
9.1 You consent to receive medical treatment deemed necessary during the Event.
9.2 If medical staff advise that you should not continue, you must follow their instructions.
10. Photography & Media
10.1 By entering, you consent to being photographed or filmed at the Event.
10.2 Images may be used for Event promotion, results publication, or safety/operational purposes.
10.3 If you do not wish to appear in promotional material, you must notify us at race@crystalpalacetriathletes.com.
11. Personal Data (GDPR Compliance)
We process your personal data in accordance with UK GDPR.
We may share your data only with:
- sports governing bodies (for insurance/compliance)
- medical providers attending the Event
- timing services and essential operational partners
We do not share your details with third‑party marketers.
You may opt out of non-essential marketing emails from us at any time.
12. Withdrawal from the Event
If you withdraw mid‑race, you must inform an official or marshal so we can account for your safety. You will still be eligible for finisher materials such as Medals, T-shirts etc.
13. Liability
13.1 Nothing in these Terms restricts your statutory rights.
13.2 We are not liable for personal illness, injury, property loss, travel costs or consequential losses not arising from our negligence.
14. Governing Law
These Terms are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of its courts.
